Assessment extensions and Special Consideration

How and where to apply for an extension or special consideration if your ability to complete an assessment is affected by exceptional circumstances beyond your control. 

It is important you try to complete your assessments on or before their due date.  If you can’t, you need to apply for an assessment extension in MyOP, or if you are affected by exceptional circumstances beyond your control, you can submit a special consideration application for a longer extension, transfer or late withdrawal.  

The Extension and Special Consideration processes apply to all learners.

If you submit an assessment late (after the due date or the end date of the course) and you have not applied for an extension or special consideration it may not be marked. For more information refer to the Academic Statute.

Assessment extensions

If your course information on the MyOP homepage shows the due date as:  

  • A date for each assessments read section 1 below.  
  • ‘Unavailable’, then the due date is the end date of your course. Read section 2 below.

    You can only apply for an extension through the MyOP ‘Request an assessment extension’ page. Do not email your assessment extension request.

    • Assessment extensions are normally up to seven days.
    • However, if you submit an extension request and receive the confirmation email you can submit a request for another extension. Please read the emails you receive carefully to check your new assessment due date.

    Extension requests can take up to 24 hours to process at peak times.

    How to apply for an extension

    1. Go to the 'Request an Assessment Extension' page in MyOP
    2. Select the course you want to apply for an assessment for
    3. If the extension option is available* choose your assessment and reason
    4. Click 'Submit'.

    *If the option to request an extension for an assessment is not available, or you need an extension that goes past your course end date, you can apply for Special Consideration.

    Finding your new assessment due dates after getting an extension

    You will get a confirmation email with your new assessment due date. 

    Your MyOP homepage will update with your new due date, but the assessment due dates in iQualify will not. Only quizzes and interactive access task dates will update in iQualify (these take two working days to update because we process them manually). 

  • 2. Courses showing due dates as ‘Unavailable’ in MyOP

    If your course shows ‘Unavailable’ in the due dates in MyOP you must submit all of your course’s assessments on or before your course end date.

    You can follow the recommended submission dates in your course in iQualify (you can find these in the Assessments or Tasks tab of the course), and you do not have to apply for an assessment extension if you cannot meet these dates.

    Need more time after the course end date?

    You may be able to apply for Special Consideration. Check the information below.  

Special Consideration

If your ability to complete an assessment has been seriously affected by exceptional circumstances beyond your control you can apply for Special Consideration. 

Exceptional circumstances are incidents, events or conditions beyond your control that could not have reasonably been foreseen or planned for at the time you enrolled.

Special Consideration applications must normally be submitted no later than the assessment due date, and before the course end date. 

Before you apply for Special Consideration

Check to see if you have applied for assessment extensions through MyOP. To do this:

  • Go to the ‘Request an assessment extension’ page in MyOP
  • If you can see your course and assessment number on the list please apply for an extension. After submitting an extension application, you will receive an email notification once your extension request has been processed. 
  • How to apply for Special Consideration

    The Special Consideration application process applies to all learners.

    Please read the information below and on the form about the supporting documentation (evidence) you can provide to support your application. Evidence or a document is required to submit the form.

    1. Fill in the Special Consideration form linked to below. Carefully check you have included the correct Course and assessment information.
    2. Include supporting documentation about your circumstances (confidentiality is maintained). Do not include photographs as these are not acceptable proof of circumstances.
    3. Include details about your preferred study outcome if your application for Special Consideration is approved. The possible outcomes are:
      • An extension of time to complete an assessment. This may be longer than your enrolment period. OR;
      • Transfer of your enrolment to the next available offering. Courses transferred under special consideration can only be transferred once, and are not eligible for a refund if you apply to withdraw in the new enrolment period. OR;
      • Withdrawal. This may be approved with full or partial refund, or no refund taking into consideration the circumstances and evidence provided that covers the related enrolment period.

    After you submit the form, you will receive an email with a copy of the form.

    Your application will be reviewed by the Academic Registry team as soon as possible. We will email you if we need more information or evidence from you, and to advise you of the decision.  

    Apply for Special Consideration

    Important

    • Please refer to the Terms and Conditions of Enrolment, Learner rights and conduct - the regulations (Te-Kawa-Maiorooro section 6.5, (2) and the Academic Statute section 11.3.3) and the policies and procedures as published on the website or emailed to you.
    • Your enrolment cannot be transferred to another person as it is a legal contract between you and Open Polytechnic.
    • Courses transferred under special consideration can only be transferred once and are not eligible for a refund if the learner withdraws in the new enrolment period.
    • Special consideration is not available for examinations. Go to the Exams information for your options.
